What buyers get wrong on sampling and MOQ

  1. Bulk talk before sample lockAsking for a final metre rate and cartons before shade, GSM, and usable width are approved usually creates rework after the first shipment.
  2. One MOQ for every clothScarf twill paths and multi-colour jacquard paths rarely share the same minimum reality. A single number on a chat is usually marketing, not planning.
  3. QC only after arrivalIf the only inspection is when goods hit a US DC or EU warehouse, shade and width surprises become expensive returns - not a quick mill conversation.

Useful Discovery

Treat the approved sample as a dated contract, not a souvenir

When overseas teams keep the approved cutting with shade method, GSM/hand, and usable width written on it, reorder talk stays calm. When the only reference is a WhatsApp photo, every lot restarts negotiation.

Interesting Find

MOQ questions get better answers after construction is named

Buyers in Germany, Singapore, and the UAE who send end product + construction + colour count first get usable minimums. Buyers who only ask "what is your MOQ?" get a number that fails as soon as the brief changes.

Sample-to-ship checklist

Walk the ladder in order. Tick what you already have for your programme, then send an enquiry with the open steps. This is the decision module for this page - not a supplier scorecard and not a fabric catalogue.

  1. 01

    Sample the right thing

Match the sample to the end product - scarf drape, dress body, or occasion motif - not only a pretty face. Prefer a physical or courier sample for new constructions.

KashiFab fabric sampling - silk cuttings tagged for shade GSM and width
  2. 02

    Lock specs in writing

Approve shade method, GSM/hand, usable width, and motif scale if relevant - in your market light (US showroom, EU boutique, Gulf retail). Date the approval.

KashiFab fabric specs lock - specification sheet with silk swatch and Pantone chips
  3. 03

    Discuss MOQ after the brief

Share construction, colourways, and quantity band. Expect real minima to follow the brief - not a universal number published before anyone saw the cloth.

KashiFab MOQ discussion - different fabric constructions on a sourcing desk
  4. 04

    Agree QC before ship talk

Confirm what will be checked against the written lock before packing for your destination - shade, width, face defects, and packing notes for the market you name.

What good fabric sampling looks like

Sampling is not a free swatch ritual. It is how overseas buyers reduce the chance that the first commercial lot fails hand, shade, or width.

  • New construction or new shade - sample first, then metres.
  • Reorder of a written lock - reference the dated approval; still confirm yarn/loom availability.
  • Multi-colour jacquard - sample colourways, not only one hero face.
  • Market light - approve where you sell (US, EU, SEA, Middle East), not only under mill light.

Specs lock - what must be written

If it is not written, it will be argued later. At minimum we expect overseas programmes to lock:

ShadePantone, lab dip, or physical swatch - plus approval light
ConstructionWeave / fibre story and GSM or momme band
Usable widthWhat your marker needs, not only loom talk
Hand / finishEspecially scarf vs apparel vs occasion programmes
Motif scaleWhen jacquard or patterned faces are in the brief
Date & partiesWho approved what, and when

How to talk MOQ without fake certainty

We do not publish a universal MOQ on this page. Here is how honest MOQ talk works with KashiFab and how you should diligence any Indian supplier.

After the brief

Construction, colourways, and quantity band first - then a real minimum for that path.

Different cloth, different minima

A solid twill scarf programme and a multi-colour brocade programme should not share one marketing number.

Red flag

Any supplier who invents a fixed MOQ and week count before seeing your construction is failing the same test as inventing transit guarantees.

QC before metres leave India

QC here means checking the commercial goods against the written lock before packing talk for your destination - not a generic "100% inspected" slogan.

  • Shade and face against the approved sample / lock
  • Usable width and obvious weave or finishing issues that would fail cutting
  • Packing notes aligned to the market you name (US, Europe, SEA, Middle East, or other)
  • Documentation needs discussed on the quote - no invented certification list on this page

Sampling & QC notes by buyer region

United States
Approve shade under showroom light; keep usable width on the written lock before cartons. Share Incoterms preference when commercial talk starts.
Europe and United Kingdom
UK, Germany, France, and Italy programmes often hinge on marker width and retail light approval before metres leave.
Southeast Asia
Singapore, Malaysia, and Indonesia - say if cutting happens in a different country from the bill-to office so sample and packing notes stay aligned.
Middle East
UAE, Saudi Arabia, and Qatar occasion or structured programmes: sample motif/colourways before MOQ talk, and name the Gulf destination for packing.

MOQ, timing, and document sets depend on construction and destination. We quote after the brief. We do not invent minima, transit guarantees, or certification claims on this page.

Sampling, MOQ, specs & QC FAQ

Do I always need a sample before ordering metres from India?

Situation: A buyer in the United States or Europe wants cartons quickly because a launch date is near.

Risk: Skipping sample lock on a new construction or new shade usually creates rework on hand, width, or colour after goods land.

What we do at KashiFab: For new constructions or shades, we sample first and get a written lock before commercial metre talk. For a reorder against a previously dated approval, we can discuss quantities against that lock - subject to yarn and loom availability.

Next step: Say whether this is new or a reorder when you enquire.

What should be on a written fabric specs lock?

Situation: Teams approve a swatch verbally on a call and later argue about what was agreed.

Risk: Without shade method, GSM/hand, usable width, and date, every lot becomes memory vs memory.

What we lock: Shade (Pantone / lab dip / swatch + approval light), construction, usable width, hand/finish, motif scale when relevant, and who approved when.

Next step: Ask any shortlisted supplier - including us - to confirm those fields in writing after sample.

Why will you not publish a single MOQ on this page?

Situation: Importers ask for one minimum metres number before sharing construction or colour count.

Risk: A one-size MOQ fails as soon as the cloth or colourways change. Publishing it creates false certainty.

What we do: We discuss real minima after construction, colourways, and quantity band are clear. Treat any universal MOQ before the brief as a diligence red flag.

Next step: Send the brief fields you know - we reply with sampling steps and honest commercial talk afterward.

How should US and European buyers approve colour on samples?

Situation: Mill light in India differs from a US showroom or EU boutique.

Risk: Approving only under mill light causes shade drift after import - especially on twill scarves and apparel satins.

What we recommend: Approve the sample in the light where you sell. Tell us your colour method and destination in the first enquiry.

Next step: Name US, UK, Germany, France, Italy, or another European market plus colour method in the form.

What QC should happen before shipment?

Situation: A Gulf or SEA buyer only inspects when cartons arrive.

Risk: Late discovery of shade or width issues is expensive and slow to correct across borders.

What we mean by QC: Checking commercial goods against the written lock (shade, face, usable width, obvious defects) and aligning packing notes to the named destination before ship talk. We do not invent a fake "100% inspected" guarantee here.

Next step: Ask us to confirm which checks apply to your locked construction when you request the quote path.

How is this different from the Fabric Development Process page?

Situation: Buyers confuse sourcing ops with custom development stages.

Difference: Fabric Development Process covers developing custom cloth through written stages. This page covers sampling, specs lock, MOQ talk, and QC for India sourcing / import paths - including standard constructions.

How to choose: If you need a new construction developed, use CFD process. If you need to sample and lock metres for overseas ship, stay here.

How should Southeast Asia or Middle East offices brief sampling?

Situation: Singapore or Malaysia offices may bill in one country and cut in another. UAE, Saudi Arabia, or Qatar programmes may need occasion faces with careful packing.

Risk: Vague "Asia" or "Middle East" without destination and end use leaves sample and packing notes incomplete.

What we need: Named country, end product, construction or reference, and whether bill-to and cutting destinations differ.

Next step: Put those fields in the enquiry before asking for MOQ.

Can I start from Explore Samples instead of this checklist?

Situation: Some buyers want physical swatches first.

Path: Use Explore Samples for swatch access, then return to this ladder to lock specs and plan QC before metres. The checklist still applies.

Next step: Open Explore Samples or Send Enquiry with your end product and destination.

What if I only have a photo and a Pantone?

Situation: Design teams often approve mood and colour without construction.

Risk: Colour can look close while GSM and weave are wrong for cutting.

What we do: Treat Pantone + photo as a starting brief. We propose a construction path, sample, and lock shade with construction together before MOQ and packing talk.

Next step: Send Pantone/photo, end product, destination, and quantity band.

When should I use the supplier diligence page instead?

Situation: You are still deciding whether a supplier is workable at all.

Path: Use How to Choose an Indian Fabric Supplier for who to trust. Use this page for what to sample, lock, and check once a path is in motion - including with KashiFab.
